Plumbing calls are unlike most business calls. The caller may be standing in water. The right answer on one call is "book Thursday" and on the next it is "wake someone up now." So a plumber answering service has to do more than pick up. It has to sort the call, and it has to sort it your way.
This guide helps you choose between a live answering service, an AI voice agent and plain voicemail, and gives you the call card and the three messages any option should produce. We sell AI voice agents, so we say where a person is the better answer.
Three options for the 11 p.m. call
Voicemail. Free, and it loses the call. A homeowner with a burst pipe does not leave a message and wait. They call the next plumber.
A live answering service. A trained person answers in your company name and takes a message, sorts the call and may reach your on-call plumber. Published prices from services we checked on October 7, 2026: Ruby lists $250 a month for 50 minutes, and Smith.ai lists $300 a month for 30 calls. Both are general services, not plumbing specialists. Their quality depends on how well you train them.
An AI voice agent. It answers every call at once, asks your approved questions, books the visit and alerts your on-call phone. Rosie publishes $149 a month for 1,000 minutes with booking and transfers. Our own plans are on the AI voice agents page and include minutes of calls, free setup and no contract.
Neither a person nor an AI is better on every call. A person handles a frightened or confused caller well. An AI answers five calls at once and does not have a bad night. Many shops use AI first with a person for the calls that need one.
Write the call card first
Before you compare vendors, decide what each kind of call should do. Then give the card to whoever you choose.
Emergency now. Water that cannot be stopped, sewage in the home, an active leak into a ceiling. The action is an immediate alert to your on-call phone, by call and text, and a firm rule for what happens if that person does not answer.
Same day. No hot water, a main drain that is slow, a leak at a fixture. Book the next open slot and tell the caller the window.
Scheduled. Water heater replacement, remodel rough-in, quotes. Book a visit and send the questions you need answered.
Not a fit. Outside your area, work you do not do, sales calls. Decline politely and log it so you can see how many you turned away.
The one call that is not a plumbing call
If a caller says they smell gas, that is not a booking. U.S. pipeline safety guidance tells people who smell natural gas to leave the area and call 911 from a safe place outside, and not to use a phone, switch or flame inside. Your script should tell the caller to leave and call 911 from outside, then end the call, and it should alert you. Do not let any service try to troubleshoot it. Have your own advisor approve the exact wording.
The three messages every call should produce
- To the caller: a text with the booked window and a way to change it.
- To the on-call tech: the address, the problem and the callback number, sent the moment the call ends.
- To you: a morning summary of what was booked, declined and missed.
Ten questions to ask any service
- What happens on an active-leak call? Walk me through it.
- Who is called first, and what if they do not answer?
- Can you follow my four lanes and my gas rule exactly?
- Do you book onto my calendar, or only take a message?
- How do you count: by minute, by call or by caller?
- What happens when I run past my included amount?
- Can I keep my number, and what do I keep if I leave?
- What is the contract, and what is the setup fee?
- How do you handle after-hours service fees I charge? Can the caller be told the fee up front?
- Who tunes it in the first two weeks, and how fast?
Then call the live line yourself. Say your kitchen is flooding. Interrupt it. Change the address. Ask what a repair costs. Ask for a person. Ten minutes will tell you more than any feature page.
The after-hours fee, said once
Many plumbers charge more after hours. Whatever you charge, state it plainly on the call before the visit is booked. Write the sentence once: "After-hours calls have a [fee]. A plumber can be there between [times]. Do you want me to book it?" A service that cannot say it is not ready for your emergency lane.
What to do this week
- Write the four-lane card and your gas rule.
- Forward your after-hours calls to a test number for a week and count what you would have missed.
- Call two or three options with the ten questions.
- Decide on what happens after the call, not only how it sounds.

Frequently asked questions
What should a plumber answering service do on an emergency call?
Recognize an emergency, alert your on-call phone by call and text, follow your rule if that person does not answer, and send the caller a confirmation. It should not try to diagnose.
What if a caller smells gas?
That is not a booking. Tell the caller to leave the area and call 911 from a safe place outside, then alert the owner. Have your own advisor approve the exact wording.
Is an AI voice agent or a live service better for plumbers?
A person handles a frightened or unusual caller better. An AI voice agent answers several calls at once at any hour. Many shops use AI first with a person for calls that need judgment.
Prices for other companies come from their public pricing pages, read on October 7, 2026, and they change. The gas safety statement paraphrases U.S. Pipeline and Hazardous Materials Safety Administration guidance; confirm local rules with your utility.
