# Digital marketing & AI services What we build, and where to start.

Our [digital marketing](https://www.thequietprotocol.com/marketing-agency) and AI services take a service business from being found to being booked: websites, local SEO, reviews, AI answering, intake and automation. The Quiet Protocol is an AI and marketing agency for service businesses: websites, local SEO, social media and video, AI receptionists, business systems and automation. Start with the part of the customer journey that is going wrong, and we will show you which system fits it.

You can buy one system on its own. They connect when connecting them helps.

## Start with what is going wrong

Most owners do not know whether they need a CRM, an AI agent, intake or a new website. They know what keeps happening. Choose the sentence closest to your week, and the plan shows where to begin.

What is going wrong

Nearby customers are not finding us

Our website undersells the business

We miss calls, or answer them too late

We need AI for one specific job

Every enquiry lands in the same inbox

Follow-up depends on someone remembering

Our CRM is a mess

Our tools do not share context

Our business does not fit a standard setup

”

### Start with [Local Search & Maps Visibility](https://www.thequietprotocol.com/solutions/local-search)

.

- **Why it fits**: When people search nearby, they choose from the map and the first few results. Accurate business details, consistent listings, reviews and a clear way to call or book decide whether you are considered at all.
- **What it will not solve**: It will not fix a website that loses people once they arrive, and it does not answer the calls it creates.
- **Evidence**: [Liberty Physical Therapy & Wellness](https://www.thequietprotocol.com/proof/liberty-physical-therapy-and-wellness) One clinic that looked like three online, and patients calling the wrong one.

”

### Start with [Smart Websites](https://www.thequietprotocol.com/solutions/smart-websites)

.

- **Why it fits**: Most buyers check the website before they call, even when a friend recommended you. The site has to explain the offer quickly, show why you can be trusted and give one obvious next step.
- **What it will not solve**: A better website does not create demand by itself, and it cannot follow up with the enquiries it brings in.
- **Evidence**: [IGF IT Consulting](https://www.thequietprotocol.com/proof/igf-it-consulting) A referral opened the door; the website was quietly closing it again.

”

### Start with [AI Receptionist](https://www.thequietprotocol.com/solutions/ai-receptionist)

.

- **Why it fits**: A missed call is often a lost customer. An AI Receptionist answers approved questions, collects the details, books or routes the next step and hands anything unusual to a person, at any hour.
- **What it will not solve**: It does not decide who is a good fit by complex rules, and it will not repair follow-up that breaks later.

”

### Start with [AI Agents](https://www.thequietprotocol.com/solutions/ai-systems)

.

- **Why it fits**: Some jobs are narrow and repeatable enough for an AI agent: a written conversation on the website, a defined qualification, a structured handoff. The agent is scoped to that one job, with rules and a human handoff.
- **What it will not solve**: An agent is not a general assistant for the whole business, and it should never make professional decisions.

”

### Start with [Client Intake](https://www.thequietprotocol.com/client-intake-systems)

.

- **Why it fits**: Intake asks the right questions once, separates new prospects from existing clients, checks fit and sends each enquiry to the right person or calendar with its context attached.
- **What it will not solve**: Intake organises demand that already exists. It will not bring more people to the door.
- **Evidence**: [Carter CPA's & Advisors](https://www.thequietprotocol.com/proof/carter-cpas-and-advisors) A four-partner firm that could not tell a referral from a cold lead until the call began.

”

### Start with [Workflow, CRM & Automation](https://www.thequietprotocol.com/solutions/ai-business-automation)

.

- **Why it fits**: The steps after the first conversation are where most service revenue quietly leaks. Workflow turns them into agreed sequences with owners, timing and exceptions, so they happen on a busy week too.
- **What it will not solve**: Automation cannot rescue an unclear offer or a process the team has not agreed on.
- **Evidence**: [Supreme Restoration Group](https://www.thequietprotocol.com/proof/supreme-restoration-group) Calls were answered. The trouble started after the phone was put down.

”

### Start with [Workflow, CRM & Automation](https://www.thequietprotocol.com/solutions/ai-business-automation)

.

- **Why it fits**: A CRM only helps when its stages, fields and ownership match how the business actually works. We redesign the record and the workflow around the real process, then connect the steps around it.
- **What it will not solve**: Replacing the CRM rarely helps on its own. The structure and the habits are usually the problem.
- **Evidence**: [BGM Insurance Agency](https://www.thequietprotocol.com/proof/bgm-insurance-agency) An agency already paying for a CRM that did not match how it worked.

”

### Start with [The Platform](https://www.thequietprotocol.com/platform)

.

- **Why it fits**: The Platform gives the customer record, inbox, calendar, reminders, reviews and next steps one shared home. Platform Foundation serves TQP website clients; the AI Business OS is the broader environment and works on its own.
- **What it will not solve**: Shared software does not design your process. Where the process is the gap, workflow comes first.
- **Evidence**: [Western CPA](https://www.thequietprotocol.com/proof/western-cpa) A firm that moved from having a website to running a digital client experience.

”

### Start with [Custom Software Development](https://www.thequietprotocol.com/solutions/custom-software-development)

.

- **Why it fits**: When routing, locations, integrations or business rules go beyond what a standard configuration can hold safely, we work through buy, configure and integrate first, then scope a system around the workflow itself, one valuable path at a time.
- **What it will not solve**: Custom is the wrong answer when a standard product would do the job. We check that first.
- **Evidence**: [SkillBook Academy](https://www.thequietprotocol.com/proof/skillbook-academy) A training provider whose growth became something it could measure and improve.

Still unsure after reading the list? The [fit guide](https://www.thequietprotocol.com/recommendation) asks one clarifying question per symptom and tells you what not to buy yet.

## Six business systems. Built to work together.

Think of the portfolio as a building with six wings and one corridor. The corridor is the customer's path: they discover you, understand you, start a conversation, get qualified, take a step, are followed up with, and are served by a business that keeps improving. Each wing looks after one stretch of that corridor.

A business can walk into a single wing and leave with exactly what it needed. Nothing here requires the whole building. The corridor matters when two wings have to hand the same customer to each other, which is where most service businesses lose people. Our essay on [why systems protect the handoff](https://www.thequietprotocol.com/platform) explains that idea in depth.

## Six ways to fix the operating path.

Each wing below explains what it solves, what it does not, who it fits, how it connects to the others and when it should not be your first move. The flagship product in each wing gets the most room; the systems beside it are real, focused options, not afterthoughts.

### Get found, and be understood when you are

Two different problems live in this wing. One is being seen by the people nearby who are already searching. The other is what those people think once they arrive.

![A small business storefront on a neighbourhood street in soft daylight.](https://www.thequietprotocol.com/images/local-search/storefront-1536.webp)

A Being found nearby, and making sense on arrival.

Local Search & Maps Visibility works on the first. It keeps the business details that search engines and maps rely on accurate and consistent, builds the review and trust signals nearby customers compare, and makes sure the call, visit or booking path is obvious from the listing itself.

Smart Websites work on the second. We design the website as the place a buyer decides: a clear explanation of what you do and for whom, the proof that earns trust, and one dependable next step connected to intake or booking. There are three depths, chosen by how much a buyer has to decide before they get in touch.

[Smart Websites Smart Website System, Conversion Website and Authority Website: three depths of the same practice, chosen by the decision your buyer is making. Starts at $2,395](https://www.thequietprotocol.com/solutions/smart-websites)

- [Local Search & Maps Visibility Get Found keeps your business details accurate across search, maps and business listings. $99 a month for one location, no setup fee and no contract.](https://www.thequietprotocol.com/solutions/local-search)

- **Solves**: Being hard to find for nearby searches A site that makes a strong business look ordinary Visitors who cannot tell what to do next
- **Does not solve**: Demand that does not exist in the area Calls and enquiries nobody answers Follow-up after the first contact
- **Who it fits**: Service businesses whose customers search, compare and check the website before they call: clinics, trades, accounting and law firms, advisors and local operators.
- **How it connects**: The website's next step feeds Client Intake or booking, and every enquiry it creates can land in the Platform with its source attached.
- **When it should not be first**: If people already find you and the problem is what happens after they call, start in wing B or C instead.

**Do we need a new website to rank locally?**

Not necessarily. Local visibility depends heavily on listing accuracy, reviews and relevance. A new website helps when the current one is where visitors give up.

**How do we choose between the three website depths?**

By the buyer's decision. A simple, trusted service needs a clear Smart Website System. Several services and buyer types need a Conversion Website. Firms chosen for expertise need an Authority Website.

**Will you keep our existing site?**

If it can carry the positioning and the next step, yes. We replace a website only when its structure is the ceiling.

### Start the conversation while the customer still wants one

Intent fades quickly. The first answer, on the phone or in writing, decides whether the customer keeps talking to you or calls the next business on the list.

![A quiet office after hours with a desk phone and warm lamp light.](https://www.thequietprotocol.com/images/ai-receptionist/after-hours-1536.webp)

B The call that arrives when nobody can pick up.

The AI Receptionist is the flagship in this wing. It answers the calls a busy team cannot, understands why the person is calling, answers what the business has approved, collects the details that matter and books, routes or hands over the conversation. Every call ends with a record and a clear next step.

AI Agents is the broader category for defined jobs beyond the phone. Conversational AI handles an approved written conversation, such as website chat or text. Custom AI Agents are built for one business-specific job with its own rules. Each agent is scoped to that job, and each has a human handoff designed before it goes live.

- **Solves**: Missed and late-answered calls Repeated questions that pull staff away from clients After-hours enquiries that wait until morning
- **Does not solve**: Deciding fit by complex professional rules Advice, diagnosis or pricing judgment Broken follow-up later in the journey
- **Who it fits**: Businesses where the phone or chat is the front door and the team is often busy with the work itself: trades, clinics, restoration, legal intake and appointment-led services.
- **How it connects**: Conversations hand structured context to Client Intake, bookings reach the calendar, and follow-up in wing D continues what the first answer started.
- **When it should not be first**: If calls are answered but enquiries are hard to sort, or the trouble begins after the call, wing C or D is the better place to begin.

**What is the difference between the AI Receptionist and AI Agents?**

The AI Receptionist is a specific product for inbound calls. AI Agents is the wider category for defined jobs such as written conversations or a custom task.

**Will callers know they are talking to AI?**

The receptionist is designed to be clear and helpful, and to hand the conversation to a person whenever the situation calls for one.

**What happens when it does not know the answer?**

It does not guess. It takes the details, sets the expectation and routes the conversation to the right person.

### Decide what happens next, before anyone has to guess

An enquiry is not a customer yet. Intake is the moment a business learns who is asking, what they need and where the conversation should go.

![A quiet accounting office front desk with client folders and a desk phone in morning light.](https://www.thequietprotocol.com/images/proof/western-cpa-front-desk-1600.webp)

C Where an enquiry becomes a prepared conversation.

Client Intake asks the right questions once, in the right order, and uses the answers. It separates new prospects from existing clients, checks fit against the rules you approve, collects documents or context, and routes each enquiry to the right person, service line or calendar with everything attached.

For businesses that need speed more than depth, Lead Intake & Response Systems respond quickly, check location and service need, and move estimates, bookings or dispatch along. Both exist so the first human conversation starts at the real question, not at the basics.

- [Lead Intake & Response Systems Fast response, location and service checks, and routing for estimate, booking and dispatch businesses.](https://www.thequietprotocol.com/client-intake-systems)

- **Solves**: Every enquiry looking the same Staff re-asking basic questions Good-fit clients waiting behind poor-fit ones
- **Does not solve**: Too few enquiries arriving Unanswered phones Records and follow-up after the first meeting
- **Who it fits**: Accounting, legal, advisory and clinical practices where the right questions, documents and routing matter before anyone commits time.
- **How it connects**: The website and AI conversations feed intake; intake feeds the calendar, the CRM record and the follow-up sequences in wing D.
- **When it should not be first**: If demand is thin, fix discovery in wing A first. If the phone is where people drop off, begin in wing B.

**Is intake just a longer form?**

No. Good intake asks fewer, better questions, changes them by service and sends the answers where they are needed.

**Can intake separate existing clients from new ones?**

Yes, and it usually should. Existing clients need a faster path than prospects.

**Does intake decide who we accept?**

It applies the fit rules you approve and flags the rest for a person. The decision stays with your team.

### Keep the work moving after the first conversation

Most service revenue is not lost at the first contact. It leaks in the days after: the quote nobody chased, the reminder never sent, the review never requested.

Workflow, CRM & Automation designs the record and the sequences around the way the business really works. We define the stages, the owners and the exceptions, then automate the approved repetitive steps: lead follow-up, missed-call recovery, estimate follow-up, reminders, no-show recovery, reviews, reactivation and referrals.

The CRM is part of this wing, not a separate purchase decision. A clean record with trusted stages is what lets automation run safely and lets the team see what needs attention.

- **Solves**: Follow-up that depends on memory A CRM the team works around Quotes, reminders and reviews that happen only on quiet weeks
- **Does not solve**: An unclear offer or pricing A process the team has not agreed on Visibility and first response
- **Who it fits**: Businesses with quotes, appointments, renewals or repeat customers, where the steps after the first conversation decide the revenue.
- **How it connects**: Workflow runs on the shared record in wing E and continues what the website, AI and intake started.
- **When it should not be first**: If enquiries are not arriving or not being answered, automating the follow-up only speeds up an empty pipe. Start earlier in the building.

**Do we need a new CRM?**

Usually not first. Most CRM trouble comes from stages, fields and ownership that do not match the work.

**What will be automated, and what will not?**

Approved, repetitive steps are automated. Judgment, pricing, exceptions and difficult conversations stay with people.

**How is this different from the Platform?**

The Platform is the shared software. Workflow is the designed process running on it.

### Run it on shared ground

Every other wing works better when the customer record, conversations, calendar and next steps live in one place. That shared ground is the Platform.

![A small team reviewing their day together around a shared screen.](https://www.thequietprotocol.com/images/platform-flagship/team-1440.webp)

E One record, one inbox, one view of the day.

Platform Foundation is the entry level. It is available only with a TQP website and brings website care together with the everyday tools a team uses to respond, book and stay organised: a unified inbox, booking calendars with confirmations and reminders, visible opportunities, review requests and core local trust signals.

The AI Business OS is the broader operating environment, and it works on its own, with or without a TQP website. It extends the shared record with governed AI capabilities, wider workflows and reporting, so a business can run more of its customer work in one place. Implementation scope and usage stay separate from the monthly line.

- **Solves**: Customers living in several disconnected tools Staff copying details between screens No single view of who needs attention
- **Does not solve**: An undefined process Custom rules a standard configuration cannot hold Demand and visibility
- **Who it fits**: Teams that answer, book and follow up across more than one person or tool, and want one place to see the work.
- **How it connects**: The Platform is where wing A, B, C and D results land. Custom Business Systems extend it when the standard environment is not enough.
- **When it should not be first**: If the real gap is a process nobody has designed, begin with workflow in wing D and choose the Platform tier around it.

**What is the difference between Platform Foundation and the AI Business OS?**

Platform Foundation is the entry tier for TQP website clients. The AI Business OS is the broader environment and is available standalone.

**Can we buy the Platform without a TQP website?**

The AI Business OS, yes. Platform Foundation is available only with a TQP website.

**Are usage costs included?**

No. Calls, messages and similar usage are billed separately and reported.

### Build beyond the standard system

Some businesses outgrow standard configuration: several locations, unusual routing, rules that matter, systems that must exchange data. That is when a custom build earns its cost.

Custom Business Systems are scoped around one valuable customer journey at a time: complex routing by service, urgency or location; multi-location calendars and teams; integrations with the tools you keep; migrations with proper permissions; controlled AI inside a larger system; and business rules a standard product cannot express safely.

We treat custom work as the last resort, not the first offer. A proposal for a custom system says why a standard product would not do the job, and what the build will and will not include.

[Custom Software Development Buy, configure, integrate or build, and the systems we build when building is the right answer.](https://www.thequietprotocol.com/solutions/custom-software-development)

- **Solves**: Routing and rules beyond standard setup Several locations or teams on one path Integrations the journey depends on
- **Does not solve**: Problems a standard product already solves An unclear offer Low demand
- **Who it fits**: Multi-location operators, firms with specialised journeys and businesses whose existing systems must stay and connect.
- **How it connects**: Custom systems extend the Platform and the workflows in wing D, and can include controlled AI from wing B.
- **When it should not be first**: If a standard product would do the job, it should. The fit guide and a Systems Review check that before anything is scoped.

**Why is custom work not priced publicly?**

Its cost depends on journeys, integrations, risk and continuing responsibility that are only known after review.

**Do we have to replace our existing systems?**

No. Most custom work connects the tools you keep around the journey that matters.

**Can a custom system include AI?**

Yes, when an approved AI job fits inside the larger system, with the same handoff rules as any agent.

## The distinctions buyers most often mix up

Several names on this page sound alike. These are the pairs we are asked about most, answered plainly.

- **AI Receptionist or AI Agents**: The AI Receptionist is a product for inbound calls. AI Agents is the category for defined jobs beyond the phone, including Conversational AI for written conversations and Custom AI Agents for a business-specific task.
- **Workflow or the Platform**: The Platform is the shared software: record, inbox, calendar, reminders. Workflow, CRM & Automation is the designed process that runs on it. Buying software does not design the process.
- **Platform Foundation or AI Business OS**: Platform Foundation (From $197/mo) is the entry tier and is available only with a TQP website. The AI Business OS ($497/month) is the broader environment and is available standalone.
- **Client Intake or AI Receptionist**: The AI Receptionist answers and routes calls in the moment. Client Intake decides what an enquiry needs, checks fit and prepares the conversation. Many businesses use both.
- **Smart Websites or Local Search**: Local Search helps nearby customers find you on maps and search. Smart Websites decide what they think once they arrive. One brings people to the door; the other opens it.
- **Custom Business Systems or standard configuration**: Standard products cover most journeys. Custom Business Systems are for routing, locations, integrations or rules a standard setup cannot hold safely.

## Four ways we work with you

What you buy shapes how the work is priced and what continues after launch. Every system on this page falls into one of these four kinds of engagement. The investment page explains the lines, starting prices and usage in detail, so this section stays short on numbers.

[Compare pricing and support](https://www.thequietprotocol.com/investment)

1. ### Productized system Smart Websites, Local Search & Maps setup A defined job with a standard launch process and a published starting price. You approve the scope, we build and launch it, and the proposal confirms what continues afterward.
2. ### Managed capability AI Receptionist, Conversational AI An installed product that TQP keeps running after launch: monitoring, repair and agreed improvement within scope, with usage reported and billed separately.
3. ### Platform Platform Foundation, AI Business OS Recurring software your team uses every day. Platform Foundation comes with a TQP website; the AI Business OS stands alone. Implementation is its own line.
4. ### Custom implementation Custom Business Systems, integrations A scoped build for journeys, rules or systems a standard product cannot hold, priced after diagnosis and written into a proposal before work begins.

## Three other pages, three different questions

This page answers **what do you build?** If you are still deciding what to do first, the [fit guide](https://www.thequietprotocol.com/recommendation) works from a single symptom to a first move, including when the right answer is to wait.

If you want to know **what happens if we hire you**, [how the work is done](https://www.thequietprotocol.com/how-it-works) follows an engagement from the first conversation to launch and support.

And if you want the thinking behind connected systems, [Why Systems Beat Tools](https://www.thequietprotocol.com/platform) explains why the handoffs between tools matter more than the tools themselves. Comparing partners? Read how we approach the work as an [AI systems and automation firm](https://www.thequietprotocol.com/).

Focused systems for a single operating job. They sit inside AI Answering & Agents, Intake Systems or Workflow, CRM & Automation, and each has its own page. ## Questions about what we build

**Where should a service business start?**

Start with what is already going wrong: not being found, a website that undersells you, missed calls, enquiries that all look the same, follow-up that depends on memory, disconnected tools, or needs a standard setup cannot meet. Each points to a different starting wing, and the fit guide walks through them one symptom at a time.

**Do we have to buy everything?**

No. Every system on this page can be bought on its own. They connect when connecting them helps, and a Systems Review usually recommends one first move rather than a bundle.

**What is the difference between this page and the fit guide?**

This page explains what The Quiet Protocol builds. The fit guide at /recommendation answers a narrower question: what should you do first, given what you are noticing.

**Do we need to replace our website first?**

No. Keep the site you have when it can support the positioning, the customer journey and the connections required. We improve or replace it only when its structure is the ceiling.

**What is Platform Foundation?**

Platform Foundation is the entry tier of the Platform: website care plus everyday customer tools such as a unified inbox, booking, reminders and review requests. It is From $197/mo and available only with a TQP website.

**What is the AI Business OS?**

The AI Business OS is the broader operating environment on the Platform, with governed AI capabilities, wider workflows and reporting. It is $497/month, available standalone, with implementation scope and usage kept separate.

**Are AI Agents and the AI Receptionist the same thing?**

No. The AI Receptionist is a specific product for inbound calls. AI Agents is the wider category for defined jobs such as written conversations and business-specific tasks.

**Is everything a managed service?**

No. Website work is a one-time implementation. The Platform is recurring software. The AI Receptionist and Conversational AI are managed capabilities. Workflow and Custom Business Systems are scoped implementations.

**What if our industry is not listed?**

The systems fit service businesses beyond the examples on this site, including coaches, consultants, local operators and professional firms. Fit depends on the customer journey, not on whether a niche page exists.

**How do we find out what it will cost?**

Published starting prices, the difference between one-time and recurring lines, and how usage is billed are all explained on the investment page. A Systems Review confirms scope before any proposal.

## Tell us which wing the trouble is in.

In a Systems Review we look at where customers wait, repeat themselves or drop away, and recommend one practical first move. Sometimes that is a single system. Sometimes it is to wait.
