## What are you noticing?

1. 1 Choose the closest symptom
2. 2 Answer one question
3. 3 Read your ticket

Pick what you are noticing.

Your likely first move appears here, with the reasoning and what to leave alone for now.

Already know you want to talk it through?

Not enough nearby customers find us)

When people do find you, do they usually get in touch?

Yes, most of the time

Not really

: Yes, most of the time

Start with [Local Search & Maps Visibility](https://www.thequietprotocol.com/solutions/local-search)

- **Why**: Being found is the constraint. The business profile, listings and local pages that decide who appears nearby are where the first effort belongs, because the people who do find you already act.
- **What not to buy yet**: A website rebuild. If visitors already get in touch, the site is doing its job.

[Book a call](https://www.thequietprotocol.com/book/intro)

: Not really

Start with [Smart Website System, then local visibility](https://www.thequietprotocol.com/solutions/smart-websites)

- **Why**: More visibility sends more people to a page that is not persuading them. Fix what they land on first, then invest in being found by more of them.
- **What not to buy yet**: Paid ranking promises. Nobody can honestly guarantee a position in local results.

[Book a call](https://www.thequietprotocol.com/book/intro)

Our website undersells us)

What do you most need the site to do?

Look credible and make getting in touch easy

Explain several services and help people choose

: Look credible and make getting in touch easy

Start with [Essential Website or Smart Website System](https://www.thequietprotocol.com/solutions/smart-websites)

- **Why**: The first job is credibility and one clear next step. That is a focused website, not a full customer-journey rebuild.
- **What not to buy yet**: A Custom Business System. That scope solves a process problem, and this is a first-impression problem.

[Book a call](https://www.thequietprotocol.com/book/intro)

: Explain several services and help people choose

Start with [Conversion Website](https://www.thequietprotocol.com/solutions/smart-websites)

- **Why**: Several kinds of buyer need different paths, so the site needs service structure, proof in the right places and decision support, not just better copy.
- **What not to buy yet**: A connected platform before the site helps people choose. Fix how people decide before fixing what happens after they decide.

[Book a call](https://www.thequietprotocol.com/book/intro)

Calls are missed or answered late)

When are most calls being missed?

At busy times and after closing

We are not sure, and nobody tracks it

: At busy times and after closing

Start with [AI Receptionist](https://www.thequietprotocol.com/solutions/ai-receptionist)

- **Why**: This is a narrow, high-value job: answer at any hour, capture the reason for calling, book or route the call, and hand off to a person with the context attached.
- **What not to buy yet**: A full platform migration. Close the missed-call gap first, then decide whether anything else needs to change.

[Book a call](https://www.thequietprotocol.com/book/intro)

: We are not sure, and nobody tracks it

Start with [Measure before you buy](https://www.thequietprotocol.com/calculator)

- **Why**: Without knowing when and how often calls go unanswered, any answering product is a guess. A week of call records, or the Revenue Leak Diagnostic, usually answers the question.
- **What not to buy yet**: Any answering product. Buy coverage for the hours you can see are uncovered.

[Book a call](https://www.thequietprotocol.com/book/intro)

Enquiries arrive, but many are a poor fit)

Who usually handles a new enquiry first?

A coordinator or front desk

A partner or senior professional

: A coordinator or front desk

Start with [Client Intake System](https://www.thequietprotocol.com/client-intake-systems)

- **Why**: Better questions, adapted to each service, let the front desk route strong enquiries quickly and redirect poor fits politely, without guessing.
- **What not to buy yet**: An AI agent that decides eligibility on its own. Write the fit rules first, then decide what software should do with them.

[Book a call](https://www.thequietprotocol.com/book/intro)

: A partner or senior professional

Start with [Client Intake System, with qualification before booking](https://www.thequietprotocol.com/client-intake-systems)

- **Why**: Senior time is the most expensive resource in the business. Qualification and preparation should happen before an enquiry reaches it, so the first conversation starts with the facts already known.
- **What not to buy yet**: More leads. More poorly qualified enquiries make this worse, not better.

[Book a call](https://www.thequietprotocol.com/book/intro)

Booking is messy)

Where does booking break down?

Getting people booked in the first place

Confirmations, reminders, rescheduling and no-shows

: Getting people booked in the first place

Start with [Smart Website System with a clear booking path](https://www.thequietprotocol.com/solutions/smart-websites)

- **Why**: If people cannot book easily, the fix belongs where they decide: a clear page, the right questions and a booking step that fits the service.
- **What not to buy yet**: Reminder automation. There is nothing to remind yet.

[Book a call](https://www.thequietprotocol.com/book/intro)

: Confirmations, reminders, rescheduling and no-shows

Start with [AI Business OS](https://www.thequietprotocol.com/platform)

- **Why**: Confirmations, reminders and simple rescheduling belong in a shared calendar and customer record, not in someone’s afternoon of phone tag. The AI Business OS works alongside the website you already have.
- **What not to buy yet**: A new website. Booking already happens; managing it is the gap. Platform Foundation is the lighter option once TQP runs your website.

[Book a call](https://www.thequietprotocol.com/book/intro)

Follow-up happens when someone remembers)

What slips most often?

Quotes, estimates or proposals that go quiet

Reviews, rebooking or old enquiries

: Quotes, estimates or proposals that go quiet

Start with [Automation System for estimate follow-up](https://www.thequietprotocol.com/solutions/ai-business-automation)

- **Why**: One valuable process with clear stages, timing and stop rules, where any reply goes straight back to a person. It is the process closest to revenue.
- **What not to buy yet**: A broad marketing platform. Start with the single process that loses the most work.

[Book a call](https://www.thequietprotocol.com/book/intro)

: Reviews, rebooking or old enquiries

Start with [Review Growth System or a reactivation Automation System](https://www.thequietprotocol.com/solutions/ai-business-automation)

- **Why**: Completed work and past enquiries are the cheapest demand a business has. A small, operated process keeps asking at the right moment instead of when someone has a spare hour.
- **What not to buy yet**: Messages that pressure customers or hide the public review path. Every customer should be able to leave a public review.

[Book a call](https://www.thequietprotocol.com/book/intro)

Our customer records are a mess)

Do you have a CRM today?

Yes, but nobody trusts it

No, it lives in inboxes and spreadsheets

: Yes, but nobody trusts it

Start with [Workflow, CRM & Automation](https://www.thequietprotocol.com/solutions/ai-business-automation)

- **Why**: The tool may be fine. Stages, record creation and responsibilities need redesigning so the records describe what really happened.
- **What not to buy yet**: Replacing the CRM. Moving records without redesigning the process moves the mess.

[Book a call](https://www.thequietprotocol.com/book/intro)

: No, it lives in inboxes and spreadsheets

Start with [Platform Foundation](https://www.thequietprotocol.com/platform)

- **Why**: A shared customer record, unified inbox and visible pipeline in one place is the foundation that almost everything else depends on.
- **What not to buy yet**: Custom integrations. Get one record in daily use first.

[Book a call](https://www.thequietprotocol.com/book/intro)

Our tools don’t share what they know)

Do your tools work well on their own?

Mostly. The gaps are between them

No. Several of them are part of the problem

: Mostly. The gaps are between them

Start with [Custom Business System that connects what you have](https://www.thequietprotocol.com/solutions/growth-automation)

- **Why**: When each tool does its own job, the value is in connecting the edges: shared records, routing and next actions across the tools your team already knows.
- **What not to buy yet**: A wholesale platform switch. Replacing working tools resets habits without fixing the gaps.

[Book a call](https://www.thequietprotocol.com/book/intro)

: No. Several of them are part of the problem

Start with [AI Business OS](https://www.thequietprotocol.com/platform)

- **Why**: When several tools overlap and none is fully set up, moving onto one configured environment removes handoffs instead of adding connectors between weak tools.
- **What not to buy yet**: Connecting broken tools together. It makes the failures faster.

[Book a call](https://www.thequietprotocol.com/book/intro)

We want AI for one specific job)

Where does that job happen?

On phone calls

In written conversations or a back-office task

: On phone calls

Start with [AI Receptionist](https://www.thequietprotocol.com/solutions/ai-receptionist)

- **Why**: Calls are the clearest AI job: answer, capture, book or route, with a human handoff and a written boundary on what the AI may and may not do.
- **What not to buy yet**: A general-purpose agent. Name the job, the knowledge it needs and the handoff before choosing the technology.

[Book a call](https://www.thequietprotocol.com/book/intro)

: In written conversations or a back-office task

Start with [Conversational AI System or Custom AI Agent](https://www.thequietprotocol.com/solutions/ai-systems)

- **Why**: Web chat and messaging fit a Conversational AI System. A business-specific task with actions, permissions and exceptions fits a Custom AI Agent.
- **What not to buy yet**: Letting AI make decisions that need professional judgment. It should prepare them, not make them.

[Book a call](https://www.thequietprotocol.com/book/intro)

Our process needs something custom)

How often do the exceptions really happen?

Every week. They are how we work

Occasionally. Most cases are standard

: Every week. They are how we work

Start with [Custom Business System](https://www.thequietprotocol.com/solutions/growth-automation)

- **Why**: When the business genuinely runs on rules a standard setup cannot hold, such as multi-step qualification, routing across specialists or real branching follow-up, custom logic removes handoffs.
- **What not to buy yet**: Encoding every rare exception in software. Keep the rare cases with people.

[Book a call](https://www.thequietprotocol.com/book/intro)

: Occasionally. Most cases are standard

Start with [A standard configuration first](https://www.thequietprotocol.com/platform)

- **Why**: If most cases are ordinary, a configured product handles them well and people handle the unusual ones. That is cheaper to build and much cheaper to change.
- **What not to buy yet**: A Custom Business System. Custom work built for occasional exceptions tends to cost more than it saves.

[Book a call](https://www.thequietprotocol.com/book/intro)

We don’t know what the real problem is)

Do you have a few weeks of call, form and booking records?

Yes, roughly

Not really

: Yes, roughly

Start with [Revenue Leak Diagnostic, then a call](https://www.thequietprotocol.com/calculator)

- **Why**: Your own numbers point to the first constraint faster than any product page. The diagnostic turns them into a planning range to investigate, not a promise.
- **What not to buy yet**: Any product. A guess bought early is the most expensive kind.

[Book a call](https://www.thequietprotocol.com/book/intro)

: Not really

Start with A one-week evidence log

- **Why**: For five working days, count missed calls, unanswered forms, reschedules, quiet quotes and repeated questions. The pattern is usually obvious by Friday.
- **What not to buy yet**: Anything with a setup fee.

[Book a call](https://www.thequietprotocol.com/book/intro)

General guidance from patterns we see often. It cannot see your numbers, so a call confirms it before anything is proposed.

## What you notice, and the reasoning behind each answer

A symptom is where a problem becomes visible, which is not always where it starts. Open any situation to read what it usually means, the most common mistake businesses make when they react to it, and the circumstances in which our suggested first move would be wrong.

**Not enough nearby customers find us Local Search & Maps Visibility**

### What it usually means

Customers search, compare two or three nearby options, and choose one within minutes. If your business profile is thin, your hours are wrong or your service pages do not match what people type, you are simply not among the options.

### The common mistake

Buying advertising to fix a discovery problem. It works while the budget runs, then stops, and it does nothing for the accuracy of the details customers see on maps.

### When our first move would be wrong

If enquiries are already steady and the calendar is full, more visibility adds pressure to whatever handles enquiries next. Fix that first.

### When people do find you, do they usually get in touch?

**:** A website rebuild. If visitors already get in touch, the site is doing its job.

**:** Paid ranking promises. Nobody can honestly guarantee a position in local results.

**Our website undersells us Essential Website or Smart Website System**

### What it usually means

Visitors arrive, look for evidence that you are the right kind of firm for their situation, and leave when they cannot find it quickly. An outdated site is rarely just an aesthetic problem. It usually hides the proof and the next step.

### The common mistake

Choosing a website by page count or template. The depth a site needs depends on how many decisions a buyer has to make before contacting you, which is why TQP describes Smart Website System, Conversion Website and Authority Website by the job rather than the number of pages.

### When our first move would be wrong

If the site already converts visitors and the trouble starts after the form is submitted, a new website moves money to the wrong end of the journey.

### What do you most need the site to do?

**:** A Custom Business System. That scope solves a process problem, and this is a first-impression problem.

**:** A connected platform before the site helps people choose. Fix how people decide before fixing what happens after they decide.

**Calls are missed or answered late AI Receptionist**

### What it usually means

The caller who reaches voicemail rarely leaves a message. They call the next business on the list. Missed calls cluster in predictable windows, and the pattern tells you whether you need coverage, routing or simply a better callback habit.

### The common mistake

Hiring an answering service that takes messages into an inbox nobody watches. The call is answered, and the customer is still waiting.

### When our first move would be wrong

If callers mostly need advice from a professional on the first call, an AI Receptionist should book that conversation rather than attempt it. If most calls are answered promptly, coverage is not your problem.

### When are most calls being missed?

**:** A full platform migration. Close the missed-call gap first, then decide whether anything else needs to change.

**:** Any answering product. Buy coverage for the hours you can see are uncovered.

**Enquiries arrive, but many are a poor fit Client Intake System**

### What it usually means

Your form collects the same fields from everyone, so a promising client and a poor fit look identical until someone spends time on a call. The cost shows up as full calendars with the wrong conversations.

### The common mistake

Adding more required fields. Longer forms reduce enquiries from good prospects as much as poor ones. The fix is asking the right question for the service they chose.

### When our first move would be wrong

If poor-fit enquiries come mainly from a specific advertising source, change the targeting before redesigning intake.

### Who usually handles a new enquiry first?

**:** An AI agent that decides eligibility on its own. Write the fit rules first, then decide what software should do with them.

**:** More leads. More poorly qualified enquiries make this worse, not better.

**Booking is messy Smart Website System with a clear booking path**

### What it usually means

Booking has two halves. The first is getting someone onto the calendar. The second is everything after: confirming, reminding, moving the time, and arriving prepared. Most businesses solve the first half and quietly absorb the cost of the second.

### The common mistake

Adding a second scheduling tool on top of the first. Two calendars that do not agree create double bookings and more manual checking.

### When our first move would be wrong

If appointments depend on complex triage, a booking link is the wrong first step. Intake has to come before the calendar.

### Where does booking break down?

**:** Reminder automation. There is nothing to remind yet.

**:** A new website. Booking already happens; managing it is the gap. Platform Foundation is the lighter option once TQP runs your website.

**Follow-up happens when someone remembers Automation System for estimate follow-up**

### What it usually means

Follow-up is the step most exposed to a busy week. Everyone agrees it matters, nobody is against it, and it still does not happen consistently, because nothing starts it except memory.

### The common mistake

Writing a long email sequence and sending it to everyone. Follow-up should start and stop on real events, such as a quote sent or a reply received.

### When our first move would be wrong

If quotes are going quiet because the quotes themselves arrive a week late, speed up quoting before automating the chase.

### What slips most often?

**:** A broad marketing platform. Start with the single process that loses the most work.

**:** Messages that pressure customers or hide the public review path. Every customer should be able to leave a public review.

**Our customer records are a mess Workflow, CRM & Automation**

### What it usually means

When records are unreliable, people stop reading them, which makes them less reliable. Soon the real customer history lives in individual inboxes and memory, and every handoff between people loses something.

### The common mistake

A data cleanup project on its own. Clean records decay again within months unless records are created and updated by real events.

### When our first move would be wrong

If one person handles every customer from start to finish and volume is low, a simple shared spreadsheet may genuinely be enough for now.

### Do you have a CRM today?

**:** Replacing the CRM. Moving records without redesigning the process moves the mess.

**:** Custom integrations. Get one record in daily use first.

**Our tools don’t share what they know Custom Business System that connects what you have**

### What it usually means

The same customer exists in four places with four slightly different versions of the truth. Staff copy information between screens, and every copy is a chance to lose or change something.

### The common mistake

Buying an integration tool and connecting everything to everything. The useful connections are the few that carry a customer from one step to the next.

### When our first move would be wrong

If the disconnected tools are rarely used together in one customer journey, connecting them adds maintenance without much benefit.

### Do your tools work well on their own?

**:** A wholesale platform switch. Replacing working tools resets habits without fixing the gaps.

**:** Connecting broken tools together. It makes the failures faster.

**We want AI for one specific job AI Receptionist**

### What it usually means

Wanting AI for a specific job is a good starting point, because it forces the question most AI projects skip: what exactly should it do, with what information, and what happens when it is unsure?

### The common mistake

Starting with a tool and looking for jobs it could do. The businesses that get value from AI start with one job that is repetitive, time-sensitive and clearly bounded.

### When our first move would be wrong

If the job involves advice, diagnosis or regulated judgment, AI can collect and prepare but should not answer. If the job happens a few times a month, it may not justify an agent at all.

### Where does that job happen?

**:** A general-purpose agent. Name the job, the knowledge it needs and the handoff before choosing the technology.

**:** Letting AI make decisions that need professional judgment. It should prepare them, not make them.

**Our process needs something custom Custom Business System**

### What it usually means

Many businesses believe their process is unique. Some are right. The honest test is frequency: how often does a case arrive that a standard rule would mishandle?

### The common mistake

Designing the system around the most complicated case anyone can remember. The system should serve the common case well and route the unusual case to a person.

### When our first move would be wrong

If nobody can describe the process the same way twice, custom software will freeze the confusion. Agree the process first.

### How often do the exceptions really happen?

**:** Encoding every rare exception in software. Keep the rare cases with people.

**:** A Custom Business System. Custom work built for occasional exceptions tends to cost more than it saves.

**We don’t know what the real problem is Revenue Leak Diagnostic, then a call**

### What it usually means

Something feels wrong: the team is busy, revenue is flat, customers mention delays. That feeling is real evidence, but it is not yet specific enough to choose a fix.

### The common mistake

Choosing the most visible symptom. The loudest complaint is often downstream of a quieter break earlier in the journey.

### When our first move would be wrong

If the business itself is changing shape, such as a new location or service line, wait until the change settles before diagnosing the journey.

### Do you have a few weeks of call, form and booking records?

**:** Any product. A guess bought early is the most expensive kind.

**:** Anything with a setup fee.

## Size the decision before you name a product

The same symptom can call for a small fix in one business and a connected system in another. These nine dimensions decide which. Mark where your business sits on each. The more dimensions lean right, the more a system tends to earn its cost; the more lean left, the more likely a tool, a habit or a setting you already own will do.

Nothing you choose is sent anywhere. The tally runs in your browser.

## When TQP is not the right first step

A fit guide that always ends in a purchase is an advertisement. These are the situations where we would tell you, before any proposal, that something else should come first. We would rather lose a sale than sell a system your business cannot use yet.

### Good fit signals

- The business already receives calls, forms, referrals, appointments, or repeat-customer demand.
- Slow response, unclear intake, missed calls, weak follow-up, or scattered software is costing time or opportunity.
- The website needs to do more than look respectable. It needs to explain, qualify, reassure, and move buyers forward.
- The team wants implementation and a clear support boundary, not another login with no agreed setup.
- The value of one recovered customer or one hour of senior time can justify improving the system.

### A different first step may be better

- **Demand has not been proven yet**: A system protects demand that exists. If the offer is still being tested, there is very little for it to protect, and the money is better spent finding out whether people want what you sell.
- Instead Validate the offer with the simplest possible website and a phone number you answer yourself.
- **Enquiry volume is very low**: If you receive a few enquiries a week and one person sees all of them, the handoffs a system removes may not exist yet.
- Instead A shared inbox, a calendar link and a written follow-up habit. Revisit when volume grows.
- **Free or existing tools already solve it**: Plenty of problems are solved by switching on a feature you already pay for, such as calendar reminders or a basic contact form notification.
- Instead Audit what your current software can already do before buying anything new.
- **The real need is paid advertising**: TQP builds what handles demand once it arrives. It is not a media-buying agency, and ad management is outside the systems we install.
- Instead A specialist advertising partner, ideally after the enquiry path is ready for the traffic.
- **The real need is outsourced sales or staff**: Systems reduce manual coordination, but they do not replace a sales team, a receptionist rota or unlimited labour. Very low-fee software bundled with open-ended labour is a different category of service.
- Instead A staffing, virtual assistant or managed-services provider priced for labour.
- **Nobody has capacity to take part**: Implementation needs someone to approve customer-facing words, confirm rules and test real handoffs. Without that, launches slip and systems drift from how the business works.
- Instead Wait for a calmer season, or name one person with an hour a week before starting.
- **You need guaranteed rankings or revenue**: Results depend on the offer, the market, demand, response and implementation. Nobody can honestly guarantee search positions or revenue, and we will not pretend to.
- Instead Choose partners who show their evidence and explain their limits.
- **You want AI to make professional decisions**: Diagnosis, legal or financial advice and other regulated judgment stay with qualified people. AI can collect information and prepare the conversation, not replace the judgment.
- Instead Use AI to prepare decisions and keep the decision with your professionals.
- **You need someone in the room every week**: TQP is based in Toronto and works with businesses across Canada and the United States. A local physical office is not available in every market.
- Instead If regular in-person presence is essential, prioritise a local provider.

## When you are not sure what the real problem is

Uncertainty is a sensible place to start, and it does not need a consultant. Before buying anything, collect one working week of evidence. You will know more on Friday than any sales call could tell you on Monday, and you will arrive at the call with numbers instead of impressions.

The log below takes a few minutes a day. Keep it on paper beside the phone if that is easier. At the end of the week, the largest number usually points at the first move, and the selector above will make more sense.

[Run the Revenue Leak Diagnostic](https://www.thequietprotocol.com/calculator) [Or bring the question to a call](https://www.thequietprotocol.com/book/intro)

| Count each day | How | Mon | Tue | Wed | Thu | Fri |
| --- | --- | --- | --- | --- | --- | --- |
| Calls not answered live | Check the phone system or ask whoever answers to tally them. | | | | | |
| Forms or messages not answered within a working day | Scan the inbox each evening and count. | | | | | |
| Appointments moved, missed or cancelled | Look at the calendar history at the end of each day. | | | | | |
| Quotes or proposals with no reply after three days | List them with the date sent. | | | | | |
| Questions customers asked more than once | Keep a tally on paper beside the phone. | | | | | |

## A practical starting point, if you already know the job

Each path below has its own page that explains it properly. A more expensive website does not automatically require a more expensive monthly plan, and software access does not automatically include custom strategy or implementation. Colour marks the family, matching the tabs in the selector.

## Who this tends to fit

TQP works with service businesses and independent professionals in Canada and the United States where trust, response and process affect real revenue. Industry is context rather than a rule. If your business depends on earning trust, capturing enquiries, booking or routing the right next step and following up, the same thinking applies. [See business contexts](https://www.thequietprotocol.com/industries).

- **Professional and advisory firms**: Accounting, bookkeeping, law, financial planning and consulting, where high-value enquiries need a clear fit check before senior time is spent.
- **Home services**: Heating, plumbing, roofing, restoration and similar trades, where missed calls, slow quotes and after-hours demand decide booked jobs.
- **Clinics and appointment businesses**: Dental, physiotherapy, specialist clinics and similar practices, where patients compare trust, speed and availability before booking.
- **Property and premium local services**: Property management and premium local services, where complex enquiries need good answers before a person picks up.

## Check the evidence before you choose

Everything the selector suggests can be checked against public evidence and published scope.

## Questions about choosing a first step

**How is this different from the Solutions page?**

Solutions describes everything TQP offers. This guide works the other way around: it starts from what you are noticing in your business and suggests what to do first, including when the answer is a smaller fix or not TQP at all.

**What if more than one symptom applies?**

Most businesses recognise two or three. Start with the one closest to lost revenue or wasted senior time, because it usually sits earliest in the customer journey. A call confirms whether the others belong in the same scope or should wait.

**Is the selector a recommendation from TQP?**

It is general guidance based on patterns we see often. It cannot see your numbers, your team or your market. Treat it as a well-informed starting point and confirm it on a call before buying anything.

**Can I start small and add more later?**

Yes. Most engagements start with the one change doing the most damage now. Later additions are scoped and priced on their own before they begin, rather than bundled in automatically.

**Do I have to replace the software I already use?**

Usually not. If a tool does its job without daily friction, it stays and the work connects around it. Replacement is suggested only when the tool itself is where customers or context get lost.

**Where can I see prices?**

Published starting prices and what is one-time, recurring or billed by use are on the investment and scope page. The proposal after a call confirms the exact scope.

**What happens on the call?**

We talk through what the business sells, the tools and handoffs you have today, the customer journey that is breaking, volume and exceptions, what has been tried, and who decides. You leave with a practical next decision, which may be to wait.

**What if none of these describe my situation?**

## Bring the problem. Leave with a practical next decision.
