# SkillBook Academy

An IT certification provider whose growth became something it could measure, diagnose and improve.

- **Business**: IT training and certification
- **Based in**: Toronto, serving learners worldwide
- **Mandate**: Growth product, CRM, automation, AI tooling, advisory
- **Period**: March 2023 to July 2025

## More conversion. Less effort. Lower cost to grow.

SkillBook Academy is a Toronto-based IT training and certification provider serving learners worldwide. From March 2023 to July 2025, The Quiet Protocol's principal led its growth product mandate, covering funnel design, CRM, automation, analytics, AI tooling, course products and leadership advisory. Conversion improved by about 35%, lead-handling and support workload fell by more than half, and content-production costs fell by about 70%.

~35%

### Improvement in conversion

Indexed to the start of the mandate: about 35% higher.

Funnel sequencing, offer-path restructuring, UX changes, message tests and A/B tests.

50%+

### Less lead-handling and support workload

Indexed to the start of the mandate: less than half.

CRM automation, qualification and routing rules, and voice and chat assistants.

~70%

### Lower content-production cost

Indexed to the start of the mandate: about 70% lower.

Internal LLM tooling, prompt chains, API workflows and reusable campaign structures.

Where is growth leaking, what should happen next, how do we measure it, and what can the system do on its own?

## Twelve activities, no single view.

SkillBook had a real product, real learners and real demand. But when conversions dipped, nobody could say which part of the business was responsible. It could have been any of these:

- Traffic quality
- Messaging
- Offer design
- UX friction
- Slow lead response
- Weak qualification
- Thin follow-up
- Broken handoffs
- Unclear course positioning
- Team workload
- The product itself

The answer was in the journey itself, and that is where the work began.

Overlay

**As found.** Campaigns, funnels, CRM, sales follow-up, courses, support, content, reviews and reporting each ran on their own, so nobody could see where growth was leaking.

**As built.** Every stage connects through the CRM, from the first ad to the review that brings in the next learner, and every stage has a number that says whether it is healthy.

## The learner lifecycle, run as a product.

Each stage was designed, instrumented, tested and improved on its own, then connected to the next. The outcome measures sit where they were won.

1. Acquire **~70%** Lower content-production cost
2. Interest
3. Capture **~35%** Improvement in conversion
4. Qualify
5. Follow up **50%+** Less lead-handling and support workload
6. Enroll
7. Learn
8. Support
9. Complete
10. Review
11. Re-engage

### Seven questions, asked at every stage

1. What is the learner trying to do here?
2. What does SkillBook need to learn or trigger?
3. Where is the friction?
4. What should run automatically?
5. What needs a person?
6. Which number says this stage is healthy?
7. What experiment runs next?

## Nine workstreams, managed as one system.

Funnels, CRM, automation, courses, content and reviews stopped being separate projects. Each one fed the others.

### Funnel architecture and conversion design

Every UI and UX decision was tied to a conversion hypothesis. Is the next action obvious? Are we asking for too much too early? Does a high-intent learner see the same page as someone still researching?

Funnel sequencing · Offer-path restructuring · Form and lead-capture design · Step reduction · Mobile journeys · Intent segmentation · A/B testing

Conversion improved by about 35%.

### CRM as the growth backbone

The CRM became the connection between acquisition and enrollment. The rule was simple: every meaningful prospect action creates a known next action.

Source tracking · Segmentation · Qualification logic · Routing · Pipeline visibility · Sales handoffs · Lifecycle follow-up · Speed-to-lead

### Automation and lead handling

Automation took over the parts of the journey that did not need expert judgment, so more leads no longer meant proportionally more manual work. Voice and chat assistants handled common questions with qualification and routing built in.

Automated follow-up · Qualification rules · Campaign sequences · Support workflows · Voice and chat assistants · Internal notifications

Lead-handling and support workload fell by more than half.

### KPI design and growth diagnosis

Growth decisions needed evidence. Instead of watching only traffic and total leads, the team watched the health of every stage of the journey.

Stage-level KPIs · Drop-off analysis · Speed-to-lead · Pipeline progression · Operational workload

### Growth experimentation

Large, infrequent redesigns gave way to small, testable changes, each with a stated belief, a metric, an observation window and a decision waiting at the end.

Message tests · CTA and form changes · Step sequencing · Nurture changes · Automation timing · Routing adjustments

### Course and learning products

SkillBook's product is education, so growth work connected to the courses themselves, including an AI certification offering.

Course positioning · Learner journey design · Roadmap decisions · Launch planning · Activation and engagement · Post-launch iteration

### Review and reputation loop

Learners buy trust before curriculum. Review requests were timed to the right moments in the learning experience, turning good outcomes into public proof and useful feedback.

Timed review requests · Social proof for campaigns · Learner-language insight · Product feedback

### AI-assisted content and campaigns

Internal AI tooling increased throughput while people kept control of strategy, positioning and quality. Lower cost meant more ideas could be tested.

LLM tooling · Prompt chains · API workflows · Reusable campaign structures · Lead and support response assistance

Content-production costs fell by about 70%.

### Leadership advisory

Much of the value was decision support: helping leadership choose what to build, what to automate, what to launch and what to leave alone.

Product priorities · Platform decisions · Resource allocation · Launch readiness · Scope and sequencing · Growth trade-offs

## Growth decisions needed evidence.

Top-line traffic and total leads were never enough. The team measured the health of the journey, and every change followed the same loop.

1. Metric moves
2. Diagnosis
3. Hypothesis
4. Prioritized change
5. Release
6. Measurement and back to the start

### Acquisition

- Traffic quality
- Source performance
- Lead volume
- Cost efficiency

### Funnel

- Visitor-to-lead conversion
- Form completion
- Step drop-off
- Mobile against desktop

### Sales and CRM

- Speed-to-lead
- Qualification rate
- Pipeline progression
- Lead-to-enrollment

### Course

- Enrollment
- Activation
- Progression
- Completion signals

### Reputation

- Review requests
- Review completion
- Satisfaction signals

### Operations

- Lead-handling effort
- Support workload
- Content cost
- Campaign production time

### What every experiment had to state first

1. What we believe
2. Which behavior should change
3. Which metric should move
4. How long to observe
5. What decision follows

## Advice that changed the operating model.

Much of the engagement's value came from decision support: helping SkillBook's leadership choose what to build, automate and launch next, with the evidence to back every call.

Here is the problem, here is the evidence, here is the future-state journey, here are the options, here is what to prioritize, and here is how we will know it worked.

- Product priorities
- Funnel opportunities
- Platform decisions
- Automation opportunities
- Resource allocation
- Implementation risk
- Launch readiness
- KPI design
- Growth trade-offs

## How learners see SkillBook now

Learners now meet a clear, responsive path from their first question to enrollment, and the team puts its effort into the conversations that genuinely need a person.

Growth stopped being a campaign and became a product with inputs, friction, rules, feedback loops and measurable outcomes.

## Questions about the SkillBook Academy engagement

### What did The Quiet Protocol do for SkillBook Academy?

The Quiet Protocol's principal led SkillBook Academy's growth product mandate from March 2023 to July 2025: funnel and conversion design, CRM architecture, lifecycle automation, voice and chat assistants, KPI design, experimentation, course product work, review automation, AI-assisted content operations and leadership advisory.

### What results did SkillBook Academy see?

Conversion improved by about 35%, lead-handling and support workload fell by more than 50%, and content-production costs fell by about 70%.

### What is a growth operating system?

It treats growth like a product. The customer lifecycle is mapped stage by stage, each stage gets a KPI and a clear next action, repetitive work is automated, and changes ship as measured experiments instead of occasional campaigns.
