# After-Hours Answering Service: Only About 1 in 5 Small Businesses Pick Up After 6pm

I call small businesses every day. After 6pm, about one in five picks up. Here is what I see, what it costs them and what to do about it.

![Five phone circles in a row after six in the evening. One is filled green and marked answered. Four are empty and marked voicemail or no answer. Caption: from one founder's daily cold calls, not a study.](https://www.thequietprotocol.com/images/editorial/e052-who-picks-up-after-6pm.webp)

It is 6:12pm. I dial a small business. If you run one, you already know what happens next.

Ring. Ring. Ring. Voicemail.

I try the next one. Ring. Ring. Nothing.

By the fifth call, I have talked to one human being. The other four are somewhere between their dinner and their couch.

I cold call small businesses every day. A lot of them are HVAC and plumbing companies, the kind of business that lives and dies by the phone. And I have learned something about that phone that most owners never see, because they are on the other end of it.

## What I see every day

Three things, in plain numbers.

**After 6pm, no more than about one in five picks up.**

**In the mornings and afternoons, fewer than half pick up.** During working hours.

**Of the ones who miss my call, about half ever call me back.** The rest never bother.

A fair warning. This is not a study. It is my own daily calls. I cannot give you a tidy sample size, and I would be making things up if I did. I am telling you what the phone does, day after day, in the real world.

If you want to check it, try it yourself. Call ten small businesses at 6:30pm tonight. Write down who answers.

## "But we have an answering service"

About a quarter of the HVAC owners I speak to do.

Good. So does the call get handled?

Not the way you would hope. Most of those services only collect information. They are not trained to answer questions or give any. They take a name and a number and pass it on.

And of the messages I leave through them, I hear back from fewer than 40%.

Why? I honestly do not know. Maybe the owner is too busy and the message gets ignored. Maybe it never gets passed on properly. Maybe the service is not doing its job at all. From where I sit, I cannot tell. But a message that nobody answers is just a voicemail with extra steps.

If your customer rings at 7pm and gets a nice person who writes down a number, that is better than silence. It is not the same as getting the job.

## Even when they pick up, the answer is "three weeks"

Here is another thing I hear. A lot of HVAC and plumbing owners are so busy that they book appointments much later than the customer needs.

Picture a family with a dead air conditioner in July. They call. The earliest slot is next week.

They will not wait. They call the next company, and the next one has a slot tomorrow.

That is money walking out of the door while the owner is proud of a full diary. A full calendar is good news. A full calendar with nothing for the urgent job is a leak.

## And then there is nothing to remember it by

Many of these owners have no system behind the phone. No CRM. No list of who called, what they wanted, who got a callback and who did not.

So when a call is missed, nobody knows it happened. Nobody follows up. The lead is gone, and so is the record of it.

## Now flip it around

Picture yourself as the customer.

It is 7pm. Your water heater is leaking. You search, you call. Ring. Ring. Voicemail.

You do not leave a message. You call the next one.

A customer matters more than a cold caller like me, so I would hope customers get called back more often than I do. But look at the shape of it. If your phone behaves like the ones I call, a lot of real calls disappear after 6pm.

Here is a rough picture. It is an illustration, not a result from your business.

Say 100 customers call your business after 6pm.

## 100 calls after 6pm, as an illustration

- **Calls after 6pm**: 100.
- **Answered by a person**: No more than about 20, if your phone behaves like the ones I call.
- **Not answered**: About 80.
- **Called back, if half are**: About 40.
- **Never heard from you**: About 40.

An illustration, not a result from your business. Swap in your own numbers.

Forty people who wanted a job done and heard nothing.

## Why does this happen?

It is not that owners do not care. It is that the person who answers the phone is the same person on the roof, under the sink or at their daughter's recital.

Many small crews do not have a front desk. They have a mobile phone and good intentions.

And after 6pm, often nobody is even trying.

## Does anyone else see this?

There is an older number you have probably seen. It says 62% of calls to small businesses go unanswered.

We traced it. According to the roundups that summarise it, it comes from a small study of 85 businesses published in 2016. It counted voicemail as unanswered, and I could not find the original report. Different method, older data, smaller sample than I would like.

But the shape looks familiar. Most calls do not get a live answer. You can read how we traced it in [the real cost of missed calls](https://www.thequietprotocol.com/blog/cost-of-missed-call-service-business-revenue-math).

## What it costs you

You do not need my numbers. You need yours.

Count the calls you missed last month. Remove the repeats and the wrong numbers. Multiply what is left by how often those calls become jobs, and by what a job is worth.

That sum is bigger than most owners expect. [Our guide walks you through it](https://www.thequietprotocol.com/blog/cost-of-missed-call-service-business-revenue-math), and the free [Revenue & Time Leak Diagnostic](https://www.thequietprotocol.com/calculator) does the maths with your own inputs.

## Three ways to fix it

**1. Find out first.** Call your own business at 7pm. Hear what your customer hears. We wrote [a ten-minute after-hours phone test](https://www.thequietprotocol.com/blog/call-your-own-business-after-hours-test) for exactly this.

**2. Send a text when you miss a call.** Cheap, quick and better than silence. It is not a conversation, though. We compared it with a receptionist in [missed-call text back vs AI receptionist](https://www.thequietprotocol.com/blog/missed-call-text-back-vs-ai-receptionist).

**3. Get every call answered properly.** Not just taken down. A service that can answer a question, book the job and leave a record. There are seven worth looking at, and we ranked them in [the best answering services for small business](https://www.thequietprotocol.com/blog/best-answering-services-for-small-business).

## Here is what we do about it

Our AI receptionist answers every call, at 6:12pm or 2am, in a natural voice. Our voice agents run on speech-to-speech voice models from OpenAI and Google.

It does what the message-takers do not. It collects who is calling and what they need. It answers your common questions. It sends the caller a booking link or books the visit straight into your calendar. A real emergency goes to your on-call phone.

Every call is recorded. You get a text summary, and the transcript is emailed with the summary to your admin, so nothing is lost and follow-up is easy.

We build it for you. The plan includes 600 minutes of calls a month. Setup is free and there is no contract.

And it comes with a bonus: our AI Business OS for marketing and operations, which starts at $497 a month on its own. It has a CRM and job pipeline, so every lead has a record, plus one inbox, a booking calendar with reminders, a social scheduler and standard automations.

You stop being the one in five.

## Common questions about answering the phone after hours

### What percentage of small businesses answer the phone after 6pm?

There is no single reliable figure. In my own daily calls to small businesses, no more than about one in five pick up after 6pm. That is a personal observation, not a study. A widely quoted 62% unanswered figure traces to a small 2016 study that counted voicemail as unanswered.

### How many small businesses call back after missing a call?

In the same daily calls, about half of the businesses that missed my call ever called back. Customers are probably called back more often than a cold caller is, but the pattern shows how many calls can slip away.

### Do HVAC companies use answering services?

About a quarter of the HVAC owners I speak to do. In my experience most of those services only collect a name and number and do not answer questions, and I hear back from fewer than 40% of the messages I leave through them. That is my own observation, not a study.

### Do customers leave a message when nobody answers?

Many do not. A caller with a job to do often moves on to the next business. I do not have a verified figure for how many, so count your own missed calls and what happens to them.

### Is an after-hours answering service worth it?

It is worth it if you are losing qualified calls after hours and each job is worth enough to cover the cost. Work out what your missed calls are worth first, then compare the cost of a fix.

### What is the best after-hours answering service for a small business?

Our pick is The Quiet Protocol's AI receptionist, which answers every call, books the job, records it and emails the transcript, with an AI Business OS as a bonus. For other options, see our ranked list.
